In short
- Wotnex is a CRM. We store what you and your team load and what you connect (Meta, Google, Telegram).
- We only use Meta and Google data for the feature you turned on. We do not sell it or use it for advertising.
- Access to your accounts is stored encrypted on the server and you can remove it whenever you want.
- You can ask us to delete your account and your data: see how to delete your data.
Wotnex is a web CRM that lets you organize prospects in stage-based funnels, manage tasks, send quotes, receive meeting bookings, centralize WhatsApp, Instagram, Messenger and Telegram conversations, send WhatsApp messages with approved templates, publish content on Facebook pages and Instagram accounts, manage Meta Ads campaigns and receive leads from forms. This policy explains what data we process, for what purpose and what control you have over it. It applies to the site wotnexapp.vercel.app, its public pages (forms, quotes and bookings) and the associated Meta and Google applications.
1. Who we are and what role we have
Wotnex is operated by Leonardo Vera. Contact: leonardovera0.618@gmail.com.
- Your account and service usage data (who you are, your team, your connections): we are the data controller.
- Your contacts' and customers' data (the prospects, messages and bookings you load or receive with Wotnex): you and your team decide what they are used for; we process them on your behalf, only to provide the service. You are responsible for having a legal basis to process them (for example, their consent) and for complying with the laws that apply to you.
2. Data we collect
- Account: name, nickname (@username), email address, phone, profile photo (optional) and password (stored encrypted by our authentication provider). If you sign in with Facebook, we receive your public name, email and profile photo (
public_profileandemailpermissions). - CRM content: the contacts, companies, phone numbers, emails, notes, tasks, stages, custom fields, quotes, logged calls and files that you or your team load.
- Conversations: if you connect WhatsApp Business, Instagram, Messenger or Telegram, the messages, attachments and basic profile data (name, photo, identifier, phone) of the people who write to you, and the delivery and read receipts of your messages.
- Public forms, bookings and quotes: what a person fills in on one of your forms (for example name, phone and email); on a booking page, their name, email, optional phone, message and the chosen time; and their response to a quote (accept or reject and an optional comment). This data stays in your team's CRM.
- Marketing and ads: posts you create or schedule, metrics of your pages and accounts, data of your ad accounts, campaigns, ad sets, ads and their results, and the leads from your instant forms.
- WhatsApp broadcasts: the templates, the recipient list you build, the status of each send (sent, delivered, read, failed) and the list of people who asked not to receive more messages.
- Plans: your team's plan and the access codes redeemed. We do not process or store card data.
- Technical data: IP address (for usage limits and security), browser, device and error logs.
3. Data we receive from Meta (Facebook, Instagram, WhatsApp and Meta Ads)
We only access Meta data after you give us permission through Facebook Login, and only for the feature you turned on. You can review and remove those permissions whenever you want from Facebook Settings → Business integrations.
| Wotnex feature | Meta permissions | What we do with the data |
|---|---|---|
| Conversations (unified inbox) | pages_show_list, pages_messaging, pages_manage_metadata, instagram_basic, instagram_manage_messages, whatsapp_business_messaging, whatsapp_business_management, business_management |
Show the messages received by your page, Instagram account or WhatsApp number, reply to them from Wotnex and link each conversation to a contact in your CRM. On WhatsApp, also read and create your message templates, and send them to the people you choose (individually or in a broadcast). |
| Create post | pages_manage_posts, pages_read_engagement, instagram_content_publish, instagram_manage_contents |
Publish or schedule on your own pages and accounts the texts, images and videos that you choose. |
| Statistics | read_insights, instagram_manage_insights |
Show you the reach, engagement and followers of your pages and accounts. |
| Meta Ads | ads_management, ads_read, pages_manage_ads, business_management |
List your ad accounts, show the results of your campaigns, and create, edit, pause or activate campaigns, ad sets and ads only when you ask. Everything Wotnex creates starts paused and requires your explicit confirmation to start spending. |
| Instant forms (leads) | leads_retrieval, pages_manage_metadata |
Receive the data people fill in on your Meta forms (for example name, phone and email) and load it as contacts in the funnel you chose. |
We comply with the Meta Platform Terms and its developer policies. In particular: we do not sell or license Platform data; we do not use it for our own advertising, to build user profiles or for decisions about credit, employment, housing or insurance; we do not share it with third parties except the providers needed to operate the service; and access tokens are stored on the server, never in your browser.
WhatsApp messages and consent. Broadcasts are only sent with Meta-approved templates to people who agreed to receive them: Wotnex asks you to confirm this before each send. Anyone who replies "BAJA" or "STOP" is added automatically to an opt-out list and no longer receives broadcasts.
4. Data we receive from Google
If you connect your Google account from Settings → Integrations, Wotnex uses the permissions you choose, one per feature:
| Feature | Google permission | What we do with the data |
|---|---|---|
| Calendar (bookings) | calendar.events, calendar.freebusy |
Create in your calendar the event for each booking (with the invitation and a Google Meet link for the person who booked), delete it if it is canceled, and check only whether you are busy or free so as not to offer times that are already taken. We do not read the content of your other events. |
| Gmail (sending) | gmail.send |
Send from your mailbox the emails you ask for: quotes to your customers, your daily summary and scheduled reports. We can only send: we do not read, list or delete your emails. |
| Spreadsheets (import) | spreadsheets.readonly |
Read a sheet that you specify when you import contacts from a link. Read-only and only that sheet, at the time of the import. |
| Identify the account | openid, email |
Show which Google account you connected. |
Limited use. The use and transfer to any other app of information received from Google APIs adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google data solely to provide you with the features described above; we do not sell it, we do not use it for advertising, we do not transfer it to third parties except the providers needed to operate the service, and no member of our team reads it, except to investigate abuse or because of a legal obligation. We do not use Google data to train artificial intelligence models.
Access to your Google account is stored encrypted on the server. Each person connects their own account and only they see it. You can disconnect it in Wotnex (Settings → Integrations → Disconnect, which also revokes the permission on Google) or remove access at myaccount.google.com/permissions.
5. What we use the data for
- Provide the service: funnels, contacts, tasks, calendar, quotes, bookings, analytics, conversations, posts and ads.
- Authenticate you, keep your session and apply the permissions of each team and funnel.
- Send you operational notices (for example, a post that failed, an expired connection or a new booking) and, if you turn it on, your daily summary by email.
- Provide support, prevent abuse (usage limits by IP) and fix errors.
We do not sell personal data or use it for third-party advertising.
6. AI connector (Claude, ChatGPT and other MCP clients)
If you connect an AI assistant from Settings → Connect AI, that assistant can read and modify the data of the team funnels you chose, always with your same permissions and only with the scopes you authorized. The data the assistant reads passes to that AI's provider (for example Anthropic or OpenAI) and is subject to their privacy policy. Every action is recorded in your activity, bulk loads can be undone and you can disconnect the assistant at any time.
7. Who we share data with
- Meta Platforms (Facebook, Instagram, WhatsApp, Meta Ads): only to carry out the actions you ask for with your connected accounts.
- Google: only to carry out the actions you ask for with your connected account (calendar, sending emails, reading a sheet).
- Telegram: if you connect a bot, to send and receive its messages.
- Infrastructure providers that process data on our behalf: Supabase (database, authentication and files) and Vercel (hosting and server functions).
- AI providers that you connect (see section 6).
- Authorities, only if the law requires us to.
Within Wotnex, your team members see the funnels they have access to. Marketing, Meta Ads and your Google account are personal: the rest of the team does not see them.
8. Where the data is stored
The database and files are on Supabase, on a server in São Paulo (Brazil). The site and the server functions run on Vercel, which may process requests from different countries, including the United States. This involves an international data transfer; the providers apply security measures and contractual data protection commitments.
9. How long we keep the data
- Account and CRM data: as long as your account exists.
- Meta and Google access: until you disconnect the account in Wotnex or request deletion. If you remove the permission from Facebook or Google, access stops working immediately.
- Cached ad metrics: refreshed every 15 minutes while you use the section.
- Audit logs (changes to ads, AI actions and a copy of what is deleted in the CRM, visible only to team administrators): as long as your account exists, so you can review and recover.
- Backups: our database provider makes automatic backups. A deleted piece of data may remain in them until they are overwritten in their normal cycle.
10. How to delete your data
You can ask us to delete your account and all its data, including that obtained from Meta and Google, by following the data deletion instructions. You can also disconnect each account from Wotnex: that deletes its access from our servers.
11. Your rights
You can access your data, correct it, request a copy, object to processing or ask for it to be deleted. If you are in Argentina, the Agency for Access to Public Information is the supervisory authority under Law 25,326. Write to us at leonardovera0.618@gmail.com and we will reply within the time limits set by law. If you are a contact loaded by a Wotnex customer and want to exercise these rights, ask that company first, as it is the one that decides about your data; if you cannot, write to us and we will help you get in touch with them.
12. Cookies and local storage
We use browser storage only to keep your session, remember your preferences (for example, the columns you chose or the theme) and make the app installed on a phone work. We do not use advertising cookies or third-party tracking or analytics tools.
On the landing page we measure visits anonymously and without cookies: a random code that lives only in the open tab, which button was tapped and where the visit came from (for example, an Instagram link). We do not store your IP address or data that identifies you, and we respect your browser's "do not track" option. This data is kept for 13 months. If you write to us from the contact form, we store your email, your name (if you give it) and your message only to reply to you.
13. Security
We use encrypted connections (HTTPS), encrypted passwords, per-team data isolation in the database, third-party access stored encrypted and only on the server, usage limits against abuse and audit logs. No system is infallible: if we detect an incident that affects your data, we will let you know.
14. Minors
Wotnex is a professional tool for people over 18. We do not knowingly collect data from minors.
15. Changes
If we change this policy, we update the last updated date and, if the change is important, we notify you inside the app.
